A Unique Service Model:

The Old Greenwich Consulting Group has a unique and client centric view on client services. We have developed, over the years, an approach for service that is unparalleled in our industry. The following outlines our unique approach to service and provides our clients a road map of expectations:

Initial Meeting – We often begin each new relationship with a meeting to establish a road map of our clients’ objectives, both financial and benefits and from this meeting we understand the following:

• Understand the clients formal and informal employee benefits objectives
• Learn about emerging corporate direction, perceived competitive posture, and other issues that may affect benefits
• Confirm timing and items to be learned during an employee satisfaction survey
• Obtain Finance and or Risk Management staff feed back about the effectiveness of current plan and funding coupled with carriers performance.
• Discuss parameters and strategies for vendor performance guarantees which would be implemented for the renewal, (focusing on medical and dental)
• Finalize an action plan for the remainder of the contract/plan year
• Receive as much background data: claims, 5500’s, SPD’s, last renewal

Pre-Renewal Meeting – The purpose of this meeting is to establish an understanding from both Human Resources and Finance what the upcoming renewal will look like. This meeting is done 6 ½ months following the renewal. The meeting is one of the most critical meetings we have. In it we:

• Establish future planning and funding requirements
• Review current finances and claims experience
• Review pre-renewal underwriting calculations
• Review and understand plan designs and alternatives
• Establish time line for actual renewal and expectations for what and when the numbers should be delivered
• Discuss the want and need for a marketing of a specific product: Medical, Dental, Life….
• Discuss and review performance of both the carrier and brokerage and consulting services
• Discuss the need and wants for upcoming marketing

Quarterly Meeting – These meetings are held so that our clients are well informed on the financial performance of their particular benefits program. We do not like to have surprises. The purpose of these are to:

• Review plan performance
• Review claims data for the last quarter
• Review claims data for the last twelve months
• Review claims data for the last twenty-four months
• Discuss the overall service of each vendor
• Discuss changes in clients needs and wants
• Discuss future needs

Renewal Meeting - This is a meeting is which Finance and Human Resources meets with The Old Greenwich Consulting Groups team of underwriter(s) and directors to evaluate the competitiveness of the current plan. We then:

• Review the negotiated renewal
• Review the claims experience
• Understand and evaluate the particular underwriting vendor used
• Update the “pre-renewal” package and review the differences
• Review alternative plan options and discuss the options
• Discuss alternative funding options and contract types
• Review marketing results, (if agreed to market during either the monthly meeting or pre-renewal meeting)
• Discuss implementation of any changed benefits
• Discuss written communications for upcoming open enrollment, web based or paper based
• Present updated employee contribution strategy
• Discuss any and all open issues

Monthly – On a monthly basis our team members will be visiting you to check in on progress and wants and needs analysis. This schedule is altered based on the client’s wants and needs. This is an open forum for management to discuss any and all issues as they relate to our business relationship.

Daily: We are available for our client when you need us. Our schedule is to meet yours not ours. We are here to provide service day in and day out for everything form claims resolution to billing problems. There is no task to small or too large for us to assist with. Our goal is to be as responsive and dedicated as one of your own employees.
